How much time can dictation save your team?

Dictation creates useful capacity when its full workflow takes less time than your previous process. Multiply that difference by suitable tasks actually completed. This calculator includes setup and costs; its example assumptions are fully visible.

Example: a team of 20

Hypothetical assumptions: six suitable tasks per person, 20 workdays, 60% actual usage, total time reduced from 3 to 2.2 minutes, €40 per hour, €400 in monthly costs and eight setup hours. The €400 is an assumed total budget, not a quoted product price.

This is a reproducible calculation, not a customer result or proof of cash savings. The method and limits follow below.

Calculate your own workflow

The prefilled values are hypothetical examples. Replace them with your own measurements and costs. Include correction, review and transfer in both total times. All calculation stays in this tab, without upload or storage.

Tasks and total time
Costs and setup

Enter costs on one consistent basis, for example all excluding VAT. Monthly costs cover all licences and recurring operating expenses. Setup is the total time for the whole team.

How is time capacity calculated?

Completed monthly tasks = people × suitable tasks per person per day × workdays × actual usage / 100. Monthly hours = completed tasks × (previous total minutes − new total minutes) / 60. First-month hours = monthly hours − one-off setup hours.

At 60% usage, the hypothetical example completes 1,440 tasks. A difference of 0.8 minutes creates 19.2 hours per month; eight setup hours leave 11.2 hours in the first month. These are calculated example values, not measured product performance.

Which costs belong in the model?

Recurring capacity value after costs = monthly hours × assumed hourly value − total monthly costs. First-month value also subtracts setup time valued at that hourly rate and other one-off costs. Include all licences, recurring operations and equipment or training paid once; do not count the same expense twice.

Use one consistent cost basis, for example all excluding VAT. Allocate an annual subscription over its service months when modelling recurring cost. Cash timing is separate: the model does not show when an annual invoice is paid. Enter your actual quote; €400 in the example is a hypothetical total budget.

When does dictation break even?

The recurring threshold is monthly costs / ((previous minutes − new minutes) / 60 × hourly value). Under the example assumptions, 750 completed suitable tasks balance recurring costs. This excludes setup and does not guarantee actual cash savings.

If dictation takes longer, the capacity difference is negative. With no positive time gain or with an hourly value of zero, this value-based threshold cannot be calculated. A threshold above your planned monthly tasks cannot be reached within that plan.

How do you measure a useful pilot?

  1. Choose a small set of non-confidential, comparable tasks: a work email, a note and a short document. Define the required result before you start.
  2. Record the complete previous workflow and the complete dictation workflow, including waiting, corrections, review and transfer. Use the same device and task conditions; note tool version, microphone and mode.
  3. Repeat tasks, retain unsuccessful and unsuitable cases, and calculate a representative average rather than the fastest attempt. Review names, numbers and meaning as well as word errors.
  4. Measure usage and total setup time for the whole team. Enter conservative values and compare with a lower-usage scenario before deciding.

What can this model tell you?

It helps compare your own task scenarios. Available capacity only becomes a financial saving if expenses actually fall; it only becomes extra revenue if that time produces additional paid work. Neither is assumed here. Quality, adoption and unsuitable tasks can outweigh a small time difference.

The free calculator and fixed CSV example work without an account. Inputs stay in this tab and are not saved, sent or inserted into a URL. The CSV contains only the published hypothetical example. Without JavaScript, formulas and the CSV remain available.

    Common questions

Is faster speaking enough to prove time savings?

No. Compare complete workflows, including recognition, editing, review and transfer. Use comparable tasks and retain failed attempts. Speaking speed alone does not establish an improvement in your work.

Does the calculator measure ohnetippen performance?

No. It calculates your own input values. The prefilled example is hypothetical, and its budget is not a product price. Product benchmarks and your own workplace results have separate evidence and scope.

Why can the result be negative?

Dictation may take longer, actual usage may be low, or setup and recurring costs may outweigh available capacity. The model preserves negative values so these conditions remain visible.

    Does the break-even include setup?

The displayed task threshold covers recurring monthly costs only. The first-month result separately subtracts setup time and other one-off costs. A positive time difference and hourly value are required for the recurring threshold.

Will my figures be uploaded or exported?

No. Calculation runs in this browser tab without storage or upload. The downloadable CSV is a fixed published example; it never contains your input. Refreshing the page restores its example values.
