Three things to decide before recording
- Reason: why are you writing?
- Information: what does the other person need?
- Next step: what response or action would you like?
Open a blank draft and place the cursor in the message field. Use a non-confidential message for your first attempt. Whether you use a browser or a mail app, check text input with one short sentence before dictating a longer message.
A concrete example
Spoken: ‚I need to move our meeting. Thursday would be better for me. Please suggest a time.‘
One possible draft: ‚Hi, could we move our meeting to Thursday? Please send me a time that works for you. Thank you!‘
This is an editorial example, not a measured output from . Notice what stays unchanged: it adds no date, deadline or commitment you did not mention.
Check before sending
Are the recipient and greeting right? Has a question become a promise? Are dates, times and numbers correct? Is the attachment you mentioned actually attached? Even a fluent draft needs this review.
Stop recording while you read. Correct important details directly in the draft. Keep the final step deliberate: you decide when to send the message.
